The terms and conditions presented below regulate relations with our users and establish the way in which our products and services should be used, we recommend that you read them carefully, prior to any request. Once you have expressed your agreement with those terms, it means that you have read and understood all the terms and conditions relating to the policies formulated.

Payments

Payments will be made in advance, by transfer, cash or by credit card which will be debited, within 24 hours, after being agreed with the Commercial who provides assistance. The Agency only accepts online payments with the following credit cards: Visa, MasterCard and American Express. The prices of the services may be subject to change, with the exception of those cases in which the reservation has been confirmed. In case of changes related to an increase in the price/rate, the amount will be paid at the time of the change and will not be effective until such payment has been received and until the supplier has confirmed availability.

Cancellations – Refunds

All services are non-refundable, if the customer needs to change or cancel their travel plans, it will be their responsibility to notify the Agency in writing of such change.

Once the payment of the reservation has been made, the following cancellation policy, penalties and No Show will be applied:

Cancellation fees: According to the provisions of the cancellation policy of each product (hotels, houses, cars, transfers, international flights, domestic tickets, excursions, etc.).

The client must communicate in writing any breach in the execution of the contract, contacting the organizer, the travel agency or the commercial specialist who offered the service.

REGARDING THE SERVICES OFFERED

Accommodation in Hotels or Houses for Rent

The client must be informed that it is essential to present the passport or identity card at the time of check-in. Some hotels also require the presentation of the boarding/disembarkation pass.

The houses can be rented by rooms or the entire house depending on the conditions of each particular house.

Reservations and Payments: We offer you the availability of rooms and the confirmation of the service within 24 to 48 hours, for a whole range of hotels in different destinations. In cases of last-minute damage to the confirmed Hotel/House, the Agency will guarantee its replacement of a similar category, in the same city. The total charge includes room charges and taxes, as well as access and reservation fees. Incidental charges, such as parking, phone calls and room service, will be covered by the customer, directly with the hotel.

Cancellation and Refund: Once the payment for your reservation has been made, the following cancellation policy will be applied:

If the customer cancels their reservation, within a period of 72 hours or less, before the agreed date of their arrival, the customer will receive the amount of the reservation minus the price of a night/room, for not showing up on the agreed date.

Any request for a refund will be made within 30 days, after leaving the hotel. Refunds for early departure, or for no-show, will be made at the discretion of The Agency, only.

Parking: Courtesy of the hotel/house.

Smoking rooms: At the guest’s request.

Pets: Pets are not allowed.

Check-In & Out

Check-in: 16:00 hrs. (Hotels) / 14:00 (Houses)

Check-out: 12:00 hrs.

Sometimes it is possible, although it must be requested at least 24 hours in advance, and subject to the availability of rooms, and a late check-out charge.

International Flights

The corresponding authorities will have the right to refuse the transport of persons and/or their luggage, when in accordance with the applicable rules they determine that this could imply a risk or danger, or that the transport of such persons, luggage and/or belongings is prohibited by applicable legal provisions or restrictions. To this end, they will be able to check the people, their luggage and/or belongings that will be carried on board the aircraft.

The passenger is responsible for bringing with him at the time of the flight documentation all the corresponding personal documentation complete and valid and for complying with the provisions on customs, migration, health, police and other provisions that are applicable to allow them to leave the country, as well as entry to the country or countries of destination, as well as in the places where, where appropriate, stopovers will be made.

In case of buying only one route (OneWay), the passenger must take his return ticket with him on the day of the flight, to present it at the time of Check In at the airport, in case he is requested

The reservation will be valid only for the date that was purchased; therefore, the passenger is obliged to cover an additional charge if he changes the date, flight, or if he cancels it. Whether the aforementioned modifications are allowed depends on the anticipation with which they are requested.

Requests for change of date can only be made with a minimum of 15 days prior to the date of the confirmed ticket. If the change of date is confirmed, an additional charge will be made, which will be communicated to the customer on the date of request for the change.

In case of No Show, a 100% penalty will be applied. Refunds will be made only to the person who purchased the ticket, ticket or issued to the order, who will provide the original payment documents.

Some rates and promotions do not apply on long weekends and/or holidays.

If the passenger does not use his ticket or did not make any changes before the departure of the flight, it will not be valid on another date.

The passenger must show up at the assigned counter to show their flight documents four hours before departure.

Check-in closes one hour and 30 minutes before the departure of the flight.

The valuables will remain in the custody of the passenger on board the plane. We are not responsible for the transfer, damage or loss of them.

We are not responsible for damage or loss of valuable items, such as coins, jewelry, precious stones, art objects, documents, shares and negotiable certificates, electronic devices, photographic, video items or for easily decomposed items; which are not considered as luggage and are transported without the knowledge or consent of the Company. Any claim regarding luggage must be made before leaving the airport.

The documentation of fragile items is carried out at the risk of the passenger.

The transport of any type of pet, or egg boxes, is not allowed.

In case of transporting items such as firearms, fishing or competition equipment, etc., you will have to carry out a special documentation procedure, so you must present yourself 3 hours before the departure of the flight, with the corresponding certificates for its transfer and the official identification of the holder, for the corresponding filling and the authorization of the PFP department at the airport.

Car Rental at Destination Cuba

For car rental, Iris Travel Group puts at your disposal an important group of economic and medium cars, with automatic and manual transmission. Companies only confirm categories and not specific models of cars.

The rental offices operate only from 9 am to 6 pm except those located at the airports, and in Havana in the offices of the Vedado appointment in Calle 3ra and Paseo, and in the office of Playa appointment at Hotel Neptuno.

The rental point where your rental will be confirmed is subject to the carrier’s availability. If you differ from the one you booked, you will be notified in a timely manner, if you do not agree, you can cancel your reservation free of charge as long as you do so within 48 hours of receiving the information.

To pick up the car: When picking up the car, you must present them to the rental company’s officials:

Driving license valid for all drivers (driving licenses must be valid throughout the rental period and be more than one year old)

Credit card for insurance payment and security deposit

If you do not have any of these documents, the service will not be executed and will be considered a No Show, applying the corresponding penalty.

Payments can be made with cards in Freely Convertible Currency (MLC) and with a pre-payment card that can be purchased at the Airport in Cuba, VISA or Mastercard cards can also be used, as long as they are not from US banks or any of their branches.

Cancellation policy:

If you cancel the reservation at least 7 days before the date of your indicated arrival, you will be refunded the full amount you paid for the reservation.

If you cancel within a period of between 7 days and 72 hours before the date of your arrival, you will receive the amount of the reservation minus the price of two days of lease.

If you cancel less than 72 hours before the date, you will be deducted three days from the reservation.

If you settle the car before the date indicated at the beginning of the rental, the amount corresponding to the unused days will not be refunded.

Refunds will be charged to your credit card within 72 hours, after receiving the cancellation.

Fuel: The car is delivered with a tank full of fuel and the customer must pay the value of said fuel in advance. If at the time of picking up the car the gas tank is not full, you will receive instructions from the staff of the rental agency on how to act. Fuel costs must be paid by credit card, always using special gasoline or diesel as appropriate. The customer must return the car with the deposit as empty as possible, since the rental company will not reimburse any money for the excess fuel.

Additional driver: Additional drivers will be included in the contract at the time of delivery of the car, with an additional charge to be paid directly to the rental company, specifying the number of your driving license (in force) and that of the passport. The insurance (Damages due to Collision of the Vehicle) will not cover the damages caused by the driver, if these requirements are not met, even if he had a valid driver’s license.

Additional equipment: We offer seats for children. To guarantee the availability of a child seat, you must request it at the time of booking.

Return rate: The leasing companies will apply extra charges for the return of the vehicle in a different place than where the rental began. The rate will depend on the distance between the cities.

Minimum and Maximum Age: The landlord requires the customer to meet the minimum age requirements to be able to rent a vehicle:

21 years old: Skoda Fabia, Audi A3, A4, A6, VW Sharan and others (and a minimum of 3 years of experience).

30 years old: Audi A4 cabriolet & Audi TT.

The maximum age established to rent a car is under 70 years old.

Insurance: There are two types of sales: With and Without insurance.

The CDW insurance (against damage due to the collision of the car), reduces the customer’s liability in the event of an accident, provided that he has not violated any of the clauses of the contract, signed at the time of renting the car

Driving License: The customer will present the landlord with a valid driving license, issued at least 6 months before the time of signing the contract. In the event that the driver’s license, issued in the customer’s country of origin, is not written in English or Spanish, the customer must present an international driver’s license.

Airport Rate: All reservations confirmed at international airports will have a supplement of 20.00 USD, which will be paid at the time of the opening of the car lease.

Return of the vehicle: The customer will return the car on the date, time, and the agreed agency. In the event of a change, the customer will notify the landlord, and will request their approval before making the change.

In addition, the car will be returned in the same condition in which it was leased. If not, the landlord will charge the customer for self-risk, as agreed in the lease agreement.

CLAIMS

Claims will be made through the Commercial or the Representative of the Agency. Complaints that support a return or compensation must be made in writing before 72 hours after the event occurred, and before the customer leaves the country. In the case of theft, loss of property and other similar personal injuries, the client requires a report to the police authorities. The Agency and the suppliers are not responsible for luggage and personal effects forgotten in the transport units and/or hotels.
